Privacy notice

The data controller is Rua World Hotel (Van, İpekyolu district), listed in the facility register of T.C. Kültür ve Turizm Bakanlığı (Republic of Türkiye Ministry of Culture and Tourism) under Turizm İşletmesi Belgesi (Tourism Operation Licence) number 20075.

We collect only the following in the booking request form:

• Your first name and surname
• Your phone number
• Your email address
• Your check-in and check-out dates
• Number of adults, children's ages and number of rooms
• Your organisation's name, if any, and whether you want a corporate invoice
• Any additional note you provide
• The date and time the request was sent, the page language, and the version of the privacy notice displayed
• The IP address from which the request originated

The IP address is retained only to limit misuse (hundreds of automated requests from the same address) and to prove that the privacy notice was provided; the IP address is also deleted when the request record is deleted.

Your data is processed only to assess your reservation request, respond to you and keep a record of your request. It is not used for marketing, profiling, advertising or automated decision-making.

Name, contact and stay details are processed under subparagraph (c) of the second paragraph of article 5 of the Law, on the grounds that they are directly related to the conclusion or performance of a contract. The IP address is processed on the basis of legitimate interests under subparagraph (f) of the same paragraph.

Explicit consent is not requested for processing on these grounds. This is why the form has no checkbox saying “I have read this and give explicit consent”; the privacy notice is presented separately above the form.

This privacy notice covers only the reservation request form on the website. The identity information collected at hotel check-in under Kimlik Bildirme Kanunu (Identity Notification Law) No. 1774 and its reporting to law enforcement constitute a separate processing activity; the privacy notice for that activity is available at reception.

Your request record is held on a server operated on behalf of the hotel and is not transferred to third parties. The server is physically located in Germany (Frankfurt am Main; hosting provider Hostinger International). For this reason, storing your record constitutes a transfer abroad within the meaning of article 9 of the Law. This site uses no measurement or analytics tools, advertising scripts or external fonts. The maps on the Contact and Location pages do not load unless you explicitly request them.

The feature for sending a copy of your request by email is currently disabled; the site does not send you emails.

The record is retained for the time needed to resolve your request and for the limitation periods prescribed by the relevant legislation. When the purpose no longer applies, the record is deleted; all fields within it are deleted together.

Under article 11 of the Law, you can apply to the data controller to request the following:

• Find out whether your personal data has been processed
• Request information about the processing if it has been processed
• Find out the purpose of processing and whether your data is used in accordance with that purpose
• Know the third parties to whom your data has been transferred domestically or abroad
• Request correction if your data has been processed incompletely or incorrectly
• Request deletion or destruction under the conditions set out in article 7 of the Law
• Request that third parties to whom your data has been transferred be notified of its correction, deletion or destruction
• Object to an outcome against you resulting from analysis carried out solely through automated systems
• Request compensation if you suffer damage due to unlawful processing

You can submit your application by email to info@ruaworldhotel.com or by the other means set out in Veri Sorumlusuna Başvuru Usul ve Esasları Hakkında Tebliğ (Communiqué on the Procedures and Principles for Applications to the Data Controller). Applications are resolved within thirty days at the latest.
